Secure Online Receipt and Business Card Storage Companies

If you run a busy office or company, especially if you find that you're travelling around a lot, you may find it useful to store online copies of business cards of your own and other people's that are given to you, as well as to store vital information such as business receipts to save you carting them around everywhere and worrying about losing them.

There are various companies that offer this online service; NeatReceipts, CardScan, Fujitsu, but our favourite at the moment is the ever useful Shoeboxed.

Shoeboxed is a company which allows you to mailthe  business cards and receipts to from anywhere in the world. They will scan your documents and upload them to a secure website where you or appointed staff can peruse and download them back at base.

Shoebox automatically groups, or tags, your receipts into fifteen tax categories. You also have the opportunity the list them under name, date or totals. The one that I find most useful is the neat option of being able to make your own groups like "Trip to Denver Print Conference" (for example) or "Hamburg, Germany, IT Expo" so you can get whoever you send out there to mail off their receipts and contacts to Shoemoney each day to create a very specific record of expenses and new prospects.  Once they are scanned to the Shoeboxed secure website, your receipts can be exported to CSV, Excel, Quicken and PDF formats - simple.

Furthermore, the business cards you send are converted to email contacts that can be exported to Outlook, Hotmail, Yahoo, LinkedIn, Salesforce, LinkedIn and other applications and websites. 

The main strength of companies like Shoeboxed for me though is for using them as a safe archive, either as an addition or even an alternative to your own paper records for use with the IRS for who Shoeboxed scanned receipts are acceptable documents for calculating your taxes.
